BEAM Education Foundation, located in Chiang Mai, Thailand, is currently seeking a finance assistant to ensure the smooth and efficient financial operations of the organization.
Founded in 2010, BEAM Education Foundation is a non-profit charity educational organization providing educational services to marginalized and migrant youth in Thailand and Myanmar. We deliver educational access, vocational skills training, and youth leadership empowerment opportunities to meet specific needs of our program beneficiaries. In the past 13 years BEAM has empowered community youth leaders while promoting and widening access to basic, higher, and vocational education.
Purpose of the position:
So far, BEAM has supported over 80,000 disadvantaged youth and children through our various programs. BEAM operates over 30 sub-projects under 6 main programs. The Finance Assistant is responsible for overseeing the financial operations of the Foundation, prepare financial statements, project financial reports, and financial forecasts and communicating with partner organizations for several service providing projects. Moreover, this position is responsible to ensure that an organization’s financial activities are effectively monitored, evaluated, reported, and aligned with its goals. The Finance Assistant reports to the Finance Manager and is responsible for monitoring the day-to-day financial operations within the organization (payroll, invoicing, and other transactions) while working closely with the management and staff team, Finance and Administration, HR, and other programs on a daily basis.

Job description:
The Finance Assistant is required to carry out the following functions, in addition to other associated functions as the organization may require from time to time:
Project Design and Management Functions:
Essential to comprehend the financial regulations and obligations required by various donor organizations and to ensure that financial activities comply to those standards.
Ensure that the organization’s financial records and recordkeeping methods are in compliance with applicable standards and regulations.
Assist as the liaison between the organization and the partner organization for the activities regarding financial matters.
Assist the Finance Manager in the planning of project activities and the appropriate use of the projects’ planned budget in collaboration with the Finance team
Assist the Finance Manager with overseeing and ensuring the smooth financial operation of the project implementation on a daily basis, preparing financial statements, project financial activity reports, and financial forecasts.
Ensure that the projects’ financial records and recordkeeping methods are in compliance with applicable standards and regulations
Review the project’s financial records on a regular basis to find chances for cost-effective spending
Assist with the day-to-day financial operations of the project (payroll, invoicing, and other transactions)
Administrative & Other Functions:
Collaborate with the Finance Manager to identify and manage financial issues and risks during the implementation of the projects
Participate in the establishment of a safe and secure payment system for distributing funds to beneficiary organizations and partners
Support the Finance Manager and admin team with various administrative tasks
Regularly attend team meetings and capacity development training organized by the organization
Assist in the preparation and analysis of monthly, quarterly and annual financial statements in order to offer timely information about the project’s financial situation and performance
Develop accurate and complete files relating to the project’s finances and personnel files, including records of cash disbursements, cash receipts, invoices, returned checks, and other financial records
Coordinate annual internal and/or external audits, including preparation of audit worksheets, schedules & materials, and acts as a liaison to auditors
Maintain accounting controls by preparing and recommending policies and procedures
Monitoring, evaluation, and reporting functions:
Assisting the Finance Manager with the preparation of project financial reports as well as the submission of biannual reports and financial activity reports to the donors
Performing an accurate month-end, quarter-end, and year-end financial closing for projects
Assisting with the project’s financial accounting, monitoring, and reporting systems management
Job skills and qualifications:
University graduate with Finance, Accounting, or related field in Thailand.
This position is available for Thai National only.
Two years of experience as a Finance and Accounting role or in similar role in various aspects of event coordination, an in-depth knowledge of financial matters.
Proficient in MS Excel and other accounting software and strong attention to detail and accuracy.
Ability to work in a team environment with excellent written and verbal communication skills in English and Thai.
Strong organization, problem-solving and communication skills.
Strong interpersonal skills: flexibility, patience, and positive attitude.
Ability to think strategically and contribute to the development of organizational goals.
Knowledge on understanding and practicing of the Safeguarding Children and Young People is preferable. The candidate should also be volunteer-minded and needs to commit to about 40 working hours per week. This contract is valid for a period of 12 months (early January – December 2024) and may be renewed by mutual agreement between the employee and the Foundation.
